Chronicle Books is excited to announce an opening for a Trade Sales Assistant position. Our ideal candidate is a highly organized book lover who is detail-oriented with the ability to manage multiple tasks at once. As a Trade Sales Assistant, you will provide efficient day-to-day administrative and project support to the Trade Channel: National Wholesalers, Independent bookstores and Museum stores. Chronicle Books is a highly collaborative workplace that requires strong communication skills; your ability to build and grow relationships with your colleagues and Chronicle Books' customers and distribution partners makes you an essential member of multiple teams. A robust productivity skillset - including Excel, Outlook and PowerPoint- provides you with the fundamental tools to adeptly manage and meet many competing deadlines. Primary Responsibilities:

Independent Trade Support (80%)

•Support the team selling to all independent bookstores across the country

•Work directly with Assoc. Director of Trade Sales managing communications with 4 internal trade reps and 26 commission reps

•Help plan and execute 2x a year sales conferences as well as 2x a year sales webinars

•Administration of online digital catalogs hosted by Edelweiss. Build seasonal catalogs and collections, update digital assets, and maintain catalog accuracy throughout the season

•Key operational tasks: process coop requests, place rep/buyer gratis orders, check stock & availability for commission rep groups, maintain and update mailing lists, manage new account leads in Salesforce, help with sales meetings: including creating Outlook invites, pulling materials, and taking notes + follow-up on action items to execute sales strategy

•Help coordinate and contribute to the monthly direct to bookseller newsletter

•Support reps with regional trade show management. Process invoices, place booth orders, organize and ship supplies from office, track shipments, gather materials from Marketing

•Attend and help with CALIBA trade show set up and take down

•Help as needed with seasonal launch presentations-organizing catering and set-up, running the screen for virtual launches

•Support Assoc. Sales Director as needed with sales & marketing meetings: scheduling, note taking, follow-up

•Support Assoc. Sales Director with Winter Institute and Children's Institute planning and coordination with the ABA, Marketing and our Distribution Publishers

Key Account Sales support (20%):

•Support key account Sr. Sales Manager on all aspects of selling Ingram and other large wholesaler accounts

•Prepare for sales calls including digital catalog management, creating collections, gathering samples, managing mockup requests with Materials Coordinator, creating PowerPoint presentations and creating title spreadsheets as needed

•Supporting Sr. Sales Manager with notes and follow-up tasks

•Run and analyze regular account specific reporting: freezes, backorders, future ships, sell through and promotions

•Monitoring purchase orders and stock levels for key accounts

•Execute regular mailings of advance book copies to buyers

•Monitor and manage inventory holds for customers

•Provide ad-hoc support to sales managers by pulling together assets, samples and data

•Directly interface with buyers to make sure our customers receive quick and satisfactory help

Hiring Salary Range : $22.84 - $26.27/hr. This range represents the anticipated low and high end of the expected salary for this position and will be determined by factors including, but not limited to, an applicant's education, experience, knowledge, skills, abilities, and geographic location as well as internal equity and alignment with market data. This position is eligible for our profit share plan.

Schedule : Employees at Chronicle Books will follow a regular hybrid schedule in our San Francisco office of at least three (3) in-office days per week and up to five (5) in-office days per week, depending on project and business needs. Requirements

•A minimum of 1-2 years in equivalent role, with 2-3 years of prior work history.

•Clear and effective written and verbal communications.

•Outlook, Excel, PowerPoint, and Word skills strongly preferred. Prior experience with Salesforce.com and Edelweiss also a plus.

•Ability to prioritize time effectively to meet deadlines and manage multi-tasks.

•Desire to work in a high-performing, collaborative, team environment.

•Strongly self-motivated individual with the ability and initiative to work independently, as well as collaboratively with a positive, can-do attitude.

•Customer service and/or some retail experience preferred.

•Must be able to carry/lift 40 lbs.
