Description:

We are seeking a detail-oriented and tech-savvy Technology Application Specialist to support the operations of our restaurants and pizza shops. This role combines administrative tasks with IT responsibilities, ensuring that our technology systems are running smoothly while also assisting with various Operational and Marketing functions. While working with many stakeholders across various Lupoli functions, this role will report directly to Lupoli’s IT director.

You will be the key liaison between IT, Marketing, and Operations. You will work closely with the following Lupoli systems and applications (from herein, “Lupoli systems” will be used to refer to the list below) to maximize their use and value, and to ensure data is flowing property and reports can be generated accurately:

  • Toast (POS System)
  • xtraCHEF (Inventory System)
  • Sage MAS 100 (ERP System)
  • Restaurant 365 (ERP System)
  • Paylocity (HRIS)
  • Paytronix (HRIS)
  • Asana (Project Management Tool)
  • RAD (Reporting & BI System
  • Microsoft Tools:

o Outlook, Teams, etc. (Productivity)

o Excel and PowerBI (Reporting & BI)

In this role, you will be responsible for working with Marketing to maintain and build out marketing campaigns and promotions on the Paytronix platform, ensuring seamless integration and support across the organization.

The ideal candidate must be organized, proactive, and possess excellent communication skills.

This role requires that, during business hours, the candidate work from Lupoli’s headquarters at 280 Merrimack St, Lawrence, MA 01843. This role also requires some travel to Lupoli’s various corporate locations; when travel is required, the candidate will have access to a company car in order to do so.

Key Responsibilities (I.e. Items that the candidate is responsible for):

1. Operations Administrative Duties

  • Prepare reports on restaurant performance metrics and operational efficiency using Lupoli systems.
  • Assist in interpreting data to maximize operational insights.
  • Assist in inventory management by tracking purchases of food and supplies. Responsibilities include but are not limited to: (1) reviewing entered invoice information to validate data quality, (2) coordinating with Accounting to resolve any mapping issues, (3) assisting restaurant operators in maintaining the master item list and the bills of materials (recipes) in Restaurant 365, Toast, and xtraCHEF, and (4) assisting with the cycle count process as needed.

2. Customer Service Support:

  • Address customer inquiries related to digital orders, reservations, and other service and technology-related issues.
  • Provide exceptional service to both customers and staff by ensuring technology is user-friendly and accessible.

3. System Management:

  • Act as the subject matter expert for Lupoli systems providing training and support to IT, Marketing, Operations, and other stakeholders on the effective use of these systems.
  • Train staff on the documented processes (documented by IT and the business) that require the use of technology tools, including software applications and hardware devices.
  • Act as a liaison between operations and IT to inform IT of identified opportunities for enhancement (to resolve identified challenges or realize enhanced operational efficiency) related to the use of Lupoli systems.

Supporting Responsibilities (I.e., items that the candidate assists other Lupoli team members in executing):

1. Marketing Administrative Duties:

  • In conjunction with Marketing, coordinate and manage marketing campaigns and promotions on the Toast and Paytronix platforms, collaborating with the marketing team to meet campaign objectives.
  • Assist IT, Marketing, and Operations teams with campaign setup, customer segmentation, and targeted communication using the Toast and Paytronix platforms.
  • Collaborate with IT, Operations, Marketing, and external vendors to ensure successful campaign execution and platform utilization.

2. Collaboration & Communication:

  • Work closely with management and staff to identify areas for improvement in operational efficiency through technology.
  • Communicate regularly with Operations and Marketing to report on IT issues and suggest improvements.

3. IT Support & Maintenance:

  • Assist in the management and maintenance of all Lupoli systems, including data flows between these systems and other internal systems (e.g., POS, CRM).
  • Coordinate with Lupoli IT and vendors to troubleshoot and resolve basic hardware and software issues promptly.
  • Coordinate with Lupoli IT and vendors to maintain the Lupoli systems, ensuring their optimal performance and integration with other business systems.
  • Coordinate with Lupoli IT and vendors to troubleshoot and resolve any technical issues related to Lupoli systems, helping to provide high-quality end-user experiences for Lupoli staff and customers.
  • Collaborate with external vendors to ensure that Lupoli receives the required advanced technical support and system upgrades.
Requirements:
  • Previous experience in an administrative or IT support role, preferably within the restaurant or hospitality industry.
  • Proficiency in Microsoft Office Suite and familiarity with Lupoli systems: Toast (POS System), xtraCHEF (Inventory System), Sage MAS 100 (ERP System), Restaurant 365 (ERP System), Paylocity (HRIS), Paytronix (HRIS), Asana (Project Management Tool) and RAD (Reporting & BI System).
  • Experience with Paytronix or similar customer engagement/loyalty platforms.
  • Strong problem-solving abilities and attention to detail.
  • Excellent communication skills, both written and verbal, with the ability to explain technical concepts to non-technical stakeholders.
  • Strong soft skills, such as teamwork, adaptability, and customer service orientation.
  • Strong technical skills, including experience with system integration and troubleshooting.
  • Ability to work independently as well as collaboratively in a fast-paced environment.
  • Ability to work collaboratively across teams, including IT, Marketing, and Operations.
  • Ability to manage multiple campaigns and projects concurrently while meeting deadlines.
